Managing privacy and security of Client data
Pentaforge Client Data: Pentaforge securely stores all Client-related data, including contracts, signatures, and contact information, within its internal knowledge management system (e.g., Notion). Access to this data is strictly limited to personnel who require it for specific, authorised purposes. Pentaforge does not use Client data for any purposes beyond those necessary to fulfill contractual obligations, such as invoicing and the delivery of agreed-upon services.
In the course of delivering services, Pentaforge may utilise various tools for communication, messaging, and data storage. These tools may rely on third-party service providers; however, Client data is only used as required to support the agreed services. Pentaforge remains committed to maintaining the confidentiality and security of Client data at all times.
In order to deliver its services, Pentaforge relies on a number of third-party service providers (“Sub-Processors”). These tools are used to facilitate communication, messaging, and data storage. While Pentaforge uses these Sub-Processors to support its operations, Client data is handled strictly in accordance with its intended purpose—limited to fulfilling contractual obligations and providing agreed-upon services. Pentaforge ensures that all Sub-Processors adhere to industry-standard practices for data security and privacy. A list of the Sub-Processors used by Pentaforge is provided below:

End Customer Data: End Customer data is processed and managed exclusively through the applications ("Products") developed by Pentaforge for its Clients. In instances where these Products handle End Customer data, the responsibility for the management, control, and ownership of such data resides solely with the Client. Pentaforge does not possess or claim ownership over End Customer data; its role is limited to developing and maintaining the tools necessary to support the storage and handling of this data on behalf of the Client.
At all times, the Client retains full authority and discretion over End Customer data, including the ability to revoke Pentaforge’s access, as this data is hosted entirely on platforms, servers, or services owned or controlled by the Client (e.g., the Client's cloud provider). While Pentaforge offers guidance and adheres to best practices to assist the Client in ensuring the security of End Customer data, ultimately Pentaforge does not own these hosting environments.
Is the information collected through the service secure?
We take precautions to protect the security of your information. We have physical, electronic, and managerial procedures to help safeguard, prevent unauthorised access, maintain data security, and correctly use your information. However, neither people nor security systems are foolproof, including encryption systems. In addition, people can commit intentional crimes, make mistakes or fail to follow policies. Therefore, while we use reasonable efforts to protect your personal information, we cannot guarantee its absolute security.
Use of AI Tools
Pentaforge uses artificial intelligence tools, including ChatGPT, Claude, and Copilot, to support internal work such as drafting, structuring content, and generating options for evaluation. These tools do not make decisions on our behalf and all output is reviewed by our team before use.
We use paid versions of these services that do not train on our inputs. AI tools serve only to support our team's thinking and execution. Strategic decisions, client communications, and final deliverables remain under human control and review.
Who might Pentaforge share your information with?
We won’t share any of your information unless we must comply with a legal obligation.
